HubDesk

One system from booking to payment to the finance books

We keep this client’s name private. The client is real, and so is the system.

Client
A social impact hub in Southeast Asia that runs four heritage buildings as event, co-working and media spaces
Industry
Social Impact and Community Spaces
Services
Web Development, Booking and Membership Platform, System Integration, Ongoing Support
The members’ Spaces page: filters for meeting rooms, hot desks, hospitality, curated and mergeable spaces, and cards with each space’s capacity and size.
The product’s own screens, white-labelled as HubDesk: its name, logo, colours and type are ours, not the client’s. Names and figures on screen are samples.
01

The challenge

The hub brings together people from government, business and philanthropy for events, programs and co-working. Bookings, payments and finance each ran in a separate system, so staff matched the records by hand. Routine requests from staff often needed an engineer to fix them in the database.

02

What we built

We built one platform that connects the whole flow. Members book event spaces, meeting rooms or the media studio. Staff review and approve each booking, and a payment link goes out. The payment then goes straight into the finance system. Member organisations manage their own seats, and the hub’s team updates the website content without a developer.

Request to Book for the Event Hall: a date picked on a two-month calendar, the Full Day slot selected and the price summary beside it.
A booking after staff approval: Pending Payment, the total, the due date and Confirm and Pay.
Your organisation: five of eight users invited, Add Accounts and Invite Users, the admins and a pending invite.
The CMS editing the homepage: its sections in a dynamic zone with one open (title, colours, button, description), and Publish, Save and Open preview.

The result

  1. A booking now runs end to end without anyone retyping it.

  2. The platform handles about 5 bookings and 150 visits to its space pages every day.

  3. A multi-year partnership running into 2027, including one batch of 15 new features approved at once.
