Property Management

From three systems to one in 8 weeks

We keep this client’s name private. The client is real, and so is the system.

Client
A family-owned Philippine developer with six residential projects across the Visayas and Mindanao
Industry
Property Development
Services
IT Strategy, Embedded Leadership, Product Design, Web App Development
Projects and unit list: each project’s units by status (vacant, reserved, occupied, open space and held by management) with the total across all projects, above the unit records.
The product’s own screens, white-labelled as Property Management: its name, logo, colours and type are ours, not the client’s. Names and figures on screen are samples.

The challenge

Sales took a reservation, Accounting entered it again, and Documentation typed it a third time to make the contract. Unit status lived in a spreadsheet. Ask leadership for a sales figure and you got three different answers. Utility billing depended on manual meter readings.

What we built

We audited their systems first, then placed a transformation lead inside the company to coordinate vendors. Then we built the property management system. It tracks every project and unit, auto-fills contracts and deeds from buyer records, and handles utility billing. Meter readers submit readings by phone, and GCash and Maya payments are matched automatically.

A deed of absolute sale in the document editor, its buyer and property fields filled in from the buyer’s record and highlighted, 16 of 18 fields done.
A homeowner’s statement of account for September: water used between two meter readings and the HOA dues, the same statement the homeowner gets by email.
The meter reader’s route on three phones: the next unit to read, the reading keyed in beside the meter photo and the three-month average, and the reading submitted.
Uploading a GCash and Maya collection report: each payment with its channel and reference, matched to an account, and the counts of linked, pending and skipped rows.

The result

  1. First modules live in 4 weeks, full production in under 8.

  2. Every unit across six projects is in one system, so leadership gets one number.

  3. Billing runs end to end, from the meter reader’s phone to the homeowner’s inbox.
